Job Description
• Please indicate clearly how much recent experience you have of working US hours in your application. You MUST have recent experience of working night shifts/US hours. This role is working permanently night shifts.

The HR Shared Services Executive’s role is to ensure that HRSSC are delivering a strong employee experience to our US and Canada stakeholders and that our company values are embedded in everything we do. Fundamentally the HR Executive will process requests coming from IFS offices in the USA and Canada. This role is the first point of contact for HR queries related to employee life cycle events, onboarding to offboarding and everything in between. This role has some specific regular tasks but also has many ad hoc tasks.

Tasks include but are not limited to:
• Responsible for day to day HR administration for US & Canada from onboarding to offboarding ensuring all end to end processes are followed according to company processes, e.g. setting up new starters, administering leavers, organization and position changes in HCM (Thor (Cloud)).
• Support with the smooth on-boarding of new starters and off-boarding for leavers.
• Responding and acting upon tickets for US & Canada in Assyst (ticketing system) in line with agreed procedures sent from the country HR teams/Managers in a timely manner.
• Act as a first line support to all US & Canada employees regarding IFS Thor (Cloud) queries and provide a best in class customer experience by investigating and resolving errors quickly and efficiently.
• Responsible for quality in IFS Thor (Cloud), assisting the US & Canada HR teams in promptly correcting data inaccuracies e.g. incorrect reporting lines, amending holiday allowances, incorrect access levels as well as troubleshooting data in system.
• Jointly accountable for the day-to-day workload of the HR Shared Services team within the required SLA’s focusing on Americas.
• Maintaining and updating user guides and SOP’s (Standard Operating Procedures) to support consistent delivery of services at all times in relation to US & Canada HR processes.
• Contribute towards continuous improvement of process maps and HR operational processes.
• Cross train on all country specific processes and support as and when required.
• Must be available to work Sri Lankan public holidays on a rotating basis to ensure cover is always available for US stakeholders.

Requirements
• Must have recently worked US hours and be happy to continue doing so. (this is permanent requirement of the role).
• Strong desire to continue to pursue and excel in a HR career.
• Ability to problem solve and work collaboratively with colleagues across the globe to solve issues.
• Experience of and confident with using HR software on a daily basis and confident using MS Office applications such as Word, Excel, Outlook, etc.
• A team player and strong collaborator, comfortable in peer reviewing effectively.
• Good working knowledge of MS Office (especially Word, Excel, and Outlook).
• Excellent communication skills in English, both oral and written.
• Evidence of self-motivation and a proactive approach.
• Great attention to detail with exceptional accuracy skills and must be well organised.
• Ability to multitask and rise to the challenge of large volumes of work during peak periods of HR activity and the ability to deal with conflicting priorities.
• Willing and able to work Sri Lankan public holidays on a rotation basis with the team.
• Experience of and confident with using a ticketing system

Qualifications

University Degree (BBA) desirable, experience HR Operational Admin essential and/or HR Shared Services experience highly beneficial.

Experience:
• Minimum 2-3 years’ experience working in a HR Shared Services or HR Operations role working in US hours.
