Job description
The Job:
• Manage the client’s complex and ever-changing calendar, including scheduling meetings and appointments.
• Prepare and organize materials for meetings, including agendas, presentations, and reports.
• Manage the client’s correspondence, including drafting emails, letters, and other communications.
• Handle confidential information with discretion and professionalism.
• Act as the primary point of contact for the client, screening calls and visitors, and managing inquiries.
• Communicate effectively with internal and external stakeholders, representing the client and the organization in a professional manner.
• Facilitate communication between the client and other executives, departments, and external partners.
• Assist in tracking project progress, ensuring deadlines are met, and identifying potential roadblocks.
• Prepare project reports, presentations, and other documentation. Support the client in coordinating project-related activities.
• Conduct research on industry trends, competitor activities, and other relevant information.
• Prepare summaries and reports for the client’s review and decision-making.
• Proactively identify and resolve administrative and operational issues.
• Manage the client’s office, including ordering supplies and ensuring smooth operations.
• Perform other administrative tasks as assigned by the client.

Requirements:
• Bachelor’s degree in Business Administration, Communications, or a related field preferred.
• 2 to 3 years of experience supporting senior executives, preferably in a similar role.
• Exceptional communication skills, both written and verbal, with an excellent command of English.
• Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Ability to think critically, problem-solve effectively, and work independently.
• Ability to adapt to changing priorities and work in a fast-paced environment.
• Experience with project management tools and methodologies is a plus
