Project Support Executive Role Profile Project Support Executive assumes a central role in supporting Market Infrastructure Technology team’s operations by efficiently managing schedules and coordinating internal initiatives for the Heads of Departments (HoDs). Responsible for assisting HoDs to effectively manages their teams to achieve strategic objectives, this position contributes to ensuring smooth workflow and effective communication within the organization. Key responsibilities Schedule Management: Facilitate the scheduling of meetings on behalf of the Heads of Departments (HoDs) Maintain accurate records of meeting minutes and ensure timely distribution Coordinate and negotiation with stakeholders to avoid conflicts Task Coordination: Collaborate in the planning and upkeep of task backlogs through consistent follow-ups Accurately capture and manage effort estimates for various projects/initiatives driven by HoDs Prepare and assist in managing project schedules effectively Monitor project progress and ensure project teams submit their timesheets on time Distribute daily tasks, diligently tracking progress and providing regular status updates Coordinate financial processing such as generating purchase orders, processing invoices for payments through accounts payable team, and submitting reimbursement requests Maintain relevant SharePoint/confluence pages up to date Coordinate various events related to project teams Process improvement: Maintain project environments, ensuring documentation and artifacts are up to date Assist in coordinating and driving process improvement initiatives Implement / Contribute to automation of repetitive tasks Management Reporting: Gather and analyse project / workstream activity data to produce insightful management information reports. Compile team cost information to support financial reporting requirements Generate reports to monitor issue backlogs and maintain team capacity plans Prepare comprehensive resource utilization reports for informed decision-making Compliance and Administration: Maintain accurate leave plans Manage team reimbursements and expenses Organize and coordinate social events and activities to foster a positive work environment Follow-up on team compliance activities to ensure that all team members meet compliance deadlines Preferred Skills and Experience Demonstrated experience in providing administrative support or coordination in a professional setting Exceptional organizational and time management skills Excellent written and verbal communicational skills, coupled with strong interpersonal abilities Experience in working with Microsoft 365 environment Experience in utilizing project management tools and software (preferred) Experience in working with Jira and Confluence (preferred) Experience in utilizing Microsoft Power Apps (preferred) Ability to work both independently and collaboratively within a team environment Discretion and confidentiality in handling sensitive information and confidentiality in handling sensitive information LSEG is a leading global financial markets infrastructure and data provider.
