Executive – Human Resources
Over the last three and a half decades – MAS Intimates has differentiated itself in the global fashion industry through its innovation mindset, strong technical competency, and sustainability initiative.
Embark on a journey of change with MAS, by joining the MAS Intimates, Ratmalana team as Executive – HR to ensures seamlessly delivering all tasks pertaining to payroll, attendance, employee relations, recruitment, HR services and other related HR functions driving the operations unit. Ensures compliance and alignment to Group and legislative polices/procedures whilst driving an engaged working environment.
Also, the person will bear responsibility for the central cluster HR processes for the Intimates organization for executive and managers in the Payroll and administrative functions whilst directly liaising with GHR and operational units in ensuring perfect delivery.
Qualifications, Experience, Skill and Competencies:
• Facilitate overall HR and Administration Processes by ensuring the following activities are completed in a timely and accurate manner to support all employees administrative and statutory requirements for manufacturing units and centrally for Executives and Managers in the organization:
• View/update the “Time/Attendance System” (SST) whilst completing employee fingerprint registration process
• Data downloading and attendance uploading to attendance sheets.
• Maintain employee, leave absenteeism/no-pay, incentive and EPF/ETF records and all other documents related to employee details
• Ensure timely completion of the below tasks to enable effective and on-time payroll processing in the system with zero audit failures for manufacturing units and central process for executives and managers:
• Completion of all employee related documentation and employee requests as per MAS Standards.
• Create and regularly update employee salary details, personal files and Data Management Systems whilst maintaining confidentially always.
• Identify and rectify errors occurring in the Time and Attendance and Payroll Systems and Processes on-time.
• Ensure salaries, increments and arrears are not processed without authorisation.
• Prepare salaries accurately and forward to finance team to ensure timely payment of wages.
• Ensure all reports sent to the Finance department are updated and all payment cheques are finalised
• Coordination with internal teams for service and payments.
• Ensuring 100% accuracy and confidentiality in the documentation process for management perusal and fulfil the necessary statutory requirements.
• Prepare and check EPF/ETF reports sent to the Department of Labour on time.
• Prepare and submit the employee statistics to BOI to the required deadlines (applied to BOI plants).
• Prepare Gross salary reports, pay summary details as and when required.
• Perform reconciliation of salary accounts and submit reports to Management and Inland Revenue Department as per schedule.
• Complete the below employee relations initiatives to enhance positive work environments and collaborations with the greater workforce:
• Actively participate in JCC meetings prepare, maintain and update documents / reports, assist in carrying out activities initiated to ensure conformity.
• Execute planned initiatives to ensure budgeted Headcount (Direct and Indirect), ETO and Absenteeism rates are achieved by using accurate data proactively (e.g. using data analytics
• Engage with all employees and assure all grievances are addressed and/or highlighted to the Management on-time.
• Executing staff welfare processes and HR services by bringing innovative external solutions/services through negotiation with vendors and suppliers.
• Support the plant/ facility to attract and recruit team member/staff employees by conducting internal and external campaigns whilst connecting with job banks and team leaders/ group leader to support the needle point
• Be proactive in identifying innovative/ alternative processes or solutions to enhance connectivity and maintaining open and honest relationships with all supporting teams as well as the management.
• Execute employee engagement activities as per the engagement calendar and assure perfect delivery (Annual trips, division/department/company events, religious activities and celebrations etc.)
• Help establish a sound work-culture by promoting suggestions, quality circles, kaizen mindset use of problem-solving tools.
• Assist and support employees to maintain a healthy work life balance, promote healthy lifestyle habits and ensure that they are inspired to progress in their careers.
• Assist in driving a work environment that practices Safety First, adheres to Compliance Regulations and abides by the MAS DNA
• Perform additional duties commensurate with the current role, as and when requested by management
• Delivers a high level of internal customer service (manufacturing and central functions as per levels)
• Delivers employee salary confirmations, visa letters and other requests within agreed upon timelines
• Ensure accurate data integrity for employee related documentation
• Directly deals with external parties such as banks and legislative government departments as required
• Liaises and drives a highly efficient and customer-based insurance process and proactively resolves relevant issues
• Delivers a high level of system accuracy for management information:
• Bears single point responsibility for timely and accurate system related information/data
• Proactively drives employee life cycle changes on time in HR systems and related systems
• Ensure zero audit failures
• Deliver accurate and timely reports/dashboard for management information
• Work with the GHR team on system related changes, issues and processes proactively
Qualifications & Skills
• Degree – Business Management/Human Resources and any other relevant area 1-2 years of relevant work experience
• Sound communication and Negotiation skills Ability to work well with technology
