EXECUTIVE – ADMINISTRATION- MAS ACTIVE – NAWALA
Embark on a journey of change with MAS, by joining the Active – team as an Executive Administration! This role would enable you to provide administrative support services in areas such as transport and security, whilst ensuring timely payment of fuel re-imbursements and the maintenance of company vehicles, thereby meeting organizational administrative requirements
KEY RESPONSIBILITIES:
• Oversee all activities with regards to the provision of transport services to employees in order to meet organizational transport requirements in a safe, timely and cost-effective manner
• Arrange transport to employees and visitors, whilst coordinating delivery of goods by utilizing cost effective initiatives
• Ensure staff transport vehicles run according to scheduled time, whilst preparing and monitoring vehicle running charts
• Review running charts and verify compatibility of mileage given by drivers against the routes taken, whilst highlighting any discrepancies with superior
• Enter relevant data into the transport system, whilst attending to claims and re-imbursements of fuel bills in an efficient manner
• Ensure the availability of a proper transport request mechanism whilst managing same in a timely manner
• Manage vehicle parks and ensuring parking space is available by sourcing new lots for employees newly promoted/ recruited
• Follow up on vehicle insurance dates whilst ensuring they are reviewed before expiry
• Ensure company owned vehicles are maintained at given/ required standards whilst maintaining a log of all maintenance records of same
• Keep details of near misses that takes place according to compliance standards whilst also having a record of the people who use the vehicles
• Carryout Executive Vehicle Audits on a quarterly basis
• Ensure that the following reports are compiled in an accurate and orderly manner in order to support the decision-making process:
• Submit the Operations Centre fuel and transport cost report to Manager – Human Resources & Administration on a monthly basis
• Compute and send the fuel re-imbursement report which includes MAS Active Nirmaana to relevant persons on a weekly basis
• Provide relevant records of fuel utilization on a monthly basis to Manager – Environmental Sustainability
• Overlook the services provided by the security personal, whilst performing the following duties to obtain valuable services to the organization:
• Coordinate with the security service provider, negotiate service terms, prepare and sign contracts in a timely manner
• Monitor the performance of the security personnel and follow up on adherence to organizational standards
• Conduct random security checks whilst checking the security registers on a weekly basis, if there are any issues/ concerns liaise with Manager – Human Resources and Administration in solving same
• Manage transportation ,Security ,Event Management & other Administrative work as required by the management
KNOWLEDGE AND SKILLS:
• Degree in Business Manager or any other relevant field
• 3 -2 years’ Experience in the Apparel sector as an administrative executive
• Agile and change management
• Problem solving skills
• Ability to work with multiple stakeholders
