Associate – Accounting and Finance

01 Position – Based in Colombo

POSITION OVERVIEW

The Accounting & Finance Associate will assist in overseeing all aspects of the organization’s accounting and finance initiatives. The position will report directly to the Accounting and Finance Manager (AFM) and will have regular interactions with all staff and Partners.

PRIMARY DUTIES & RESPONSIBILITIES:

Payment Processing

· Checking and verification of all payments including vendor payments, employee advances, settlements, statutory payments, hub and partner transfers, payment processing by bank transfers and cheques, and daily submission of all processed payments to AFM for review

· Timely verification and transfer of funds to partners and field offices with due approvals.

· Handling day-to-day issues, and coordinating with outside suppliers, customers, and IRD officials.

Financial Data Processing and Bookkeeping in SAGE INTACCT

· Entering all receipts/advances/settlements/payments/transfers to the SAGE INTACCT system daily.

· Preparing bank reconciliations – both manual and using the SAGE INTACCT system

· Assist in the regular cycle of the Month End Financial Closing and Year-End Financial Closing cycles.

Audit

· Regular quarterly visits to partner offices and field offices for verification and checking of accounting documents.

· Monitoring partner accounts plus field office accounting and reconciling same every month.

· Participation in the partner visits for observation & auditing purposes.

· Provide the information required by local External Auditors and Global Office Auditors and Room to Read Internal Auditors

Budgeting

· Data input to ADAPTIVE Budget system during Annual Planning & Budgeting (AP&B} Process

· Budget forecasting and analyzing with program managers under ‘ADAPTIVE’ budget software.

· Assist in preparing the budgets for partnership implementation programs with UN agencies.

Documentation:

· Maintaining a documentation filing system both manual and digital for easy retrieval.

Capacity Building Programs

· Training, and capacity building of partner and field office staff capacities in accounting functions.

Management Reporting

· Preparing financial and accounting dashboard with the guidance of AFM

· Assist in monitoring and maintaining the risk assessment register.

· Assist in preparing Country Management Team Reports.

· Preparation of quarterly and annual accounts in Excel with the guidance of AFM.

· Maintaining, and updating management reports – Monthly office Expenses reports/ Program expenses.

Any other duties assigned by AFM from time to time to meet global office requirements.

Qualifications Required:

· Part Qualified Accounting Professional of a recognized Accounting Body (ACCA/CIMA/ ICASL/CMA) or fully qualified in HNDA/AAT or a Management/Finance/Commerce Degree with Accounting as a Subject.

• A minimum of three years of professional experience in an accounting and finance position preferably in an INGO.

• Experience in working with accounting software and budgeting software. Competency in accounting software “SAGE INTACCT” is highly preferred.

• Excellent competencies in MS Excel and spreadsheets required.

• Experience in handling Online banking payments including salary transfers.

• Experience in capacity building of finance staff of partner organizations.

• Strong verbal and written communication skills in English & Sinhala /Tamil.

• Good interpersonal skills
