Position Overview:
The Assistant Manager – Student and Academic Services (Administration) will oversee and manage key administrative processes, ensuring smooth operations related to student and academic services. This role involves maintaining enrollment timelines, managing reporting tasks, handling system updates and audits, and ensuring timely communication with students.
Key Responsibilities:
• Enrollment Management:
• Oversee college and university enrollment timelines to ensure adherence to deadlines.
• Collaborate with relevant departments to track and report on enrollment numbers.
• Ensure accurate student data is maintained throughout the enrollment process.
• System Updates and Audits:
• Manage and oversee updates in Navigate or other relevant systems.
• Conduct regular audits of system data to ensure accuracy and compliance.
• Liaise with IT or external vendors for system-related troubleshooting and enhancements.
• Letter and ID Issuance:
• Oversee the letter issuance process, ensuring accuracy and timely delivery.
• Manage the student ID issuance process, including coordination with other departments.
• Timetabling Management:
• Oversee the timetabling process to ensure a clash-free schedule.
• Collaborate with academic staff and departments to finalize timetables.
• Ensure timely communication of timetables and any changes to students.
• Reporting and Communication:
• Prepare and present reports on enrollment, attendance, and other metrics as required.
• Communicate key updates and deadlines to students and staff in a timely manner.
• Quality Assurance:
• Ensure all processes meet the quality standards set by the institution.
• Conduct periodic reviews of administrative procedures and recommend improvements.
• Examination and certificates / transcripts:
• Ensure all examination processes meet the quality standards set by the institution.
• Conduct periodic reviews of examination conduct, issuance of certificates / transcripts.
• Oversees the process of transcript and certificate production and maintain a minimum time turnaround for the process
• Additional Responsibilities:
• Support orientation, graduation, and other student events as needed.
• Handle ad hoc tasks related to student and academic services as assigned.
Qualifications and Skills:
• A bachelor’s degree in administration, management, or a related field with work experience in the education sector or Minimum of 3 years of experience in administrative or academic services roles.
• Proficiency in using administrative systems like Navigate or similar tools.
• Strong organizational and time management skills.
• Excellent communication and interpersonal abilities.
• Attention to detail and commitment to maintaining high-quality standards.
Work Hours and Reporting:
• Full-time position
• Reports to the Head of Student and Academic Services.
This role is integral to ensuring the efficient operation of student and academic services, with a focus on delivering a seamless experience for students and staff.
