Job Title: Accounts & Admin Executive

Location: Onsite, Sri Lanka

We are looking for a meticulous and well-organized Accounts and Admin Executive to join our team. The ideal candidate will have hands-on experience with QuickBooks Online, a strong understanding of accounting principles, and excellent administrative skills. Familiarity with MS SharePoint will be considered an added advantage. This role requires attention to detail, timely reporting, and a proactive approach to managing financial and administrative tasks.

Key Responsibilities:

Accounting Responsibilities:

· Perform daily bank reconciliations and promptly report any anomalies to management.

· Prepare statutory accounts and liaise with the company’s accountant and auditor for periodic reviews.

· Monitor and review account payables and receivables, ensuring accurate payments and timely collections.

· Maintain and update sales, purchase ledgers, and journals using spreadsheets.

· Record and file cash transactions systematically.

· Process invoices based on the project management costing sheet and maintain accurate filing records.

· Reconcile monthly payroll, generate pay slips, and prepare payment requests for directors’ approval (e.g., ETF contributions).

· Ensure timely monthly payment of PAYE, EPF, and ETF obligations in compliance with statutory requirements.

Reporting Responsibilities

· Prepare and submit detailed management reports to executives, including:

· Team Performance ROI

· Project Cost Tracking

· Monthly cashflow journal maintenance

· Monthly P&L maintenance

· Collate and analyse project data to generate actionable insights and observations.

Administrative Responsibilities

· Process expense requests for executive approval, adhering to the company’s expense management policies.

· Perform general administrative tasks, ensuring smooth day-to-day operations.

Key Requirements

Qualifications:

A degree or diploma in Accounting, Finance, Business Administration, or a related field.

Experience:
• Proven experience with QuickBooks Online is mandatory.
• Familiarity with MS SharePoint is a bonus.
• At least 2 years of experience in a similar role.

Technical Skills:
• Strong proficiency in MS Excel and accounting software.
• Solid understanding of PAYE, EPF, and ETF obligations and payroll processes.

Soft Skills:
• Excellent organizational and time-management skills.
• Strong communication skills and keen attention to detail.
• Ability to analyse and present data effectively.
